Position Overview

The Digitization Coordinator provides expertise in creating, managing and developing best practices in library digital collections and oversees the Libraries scanning and digital photography operations, particularly still image digitization, including but not limited to archival materials in a variety of formats, bound volumes, and photographs. Reporting to the Digital Initiatives Librarian, The Coordinator works with colleagues and project teams from across the Libraries to forward the libraries strategic initiatives. Supports access to KU’s unique and interesting holdings in a wide range of topics by the KU community, students, researchers, and the world through digitization for KU’s digital repositories, exhibits, and patron requests. The Digitization Coordinator demonstrates a commitment to advancing diversity efforts in the Libraries and contributes to an inclusive environment.

Job Description

65% Coordinates Digitization Operations

  • Oversees the Libraries digitization operations which includes the supervision and training of student assistants.
  • Designs, documents, and oversees efficient digital production workflows supporting the creation of digital objects that conform to digital library standards.
  • Creates and maintains policies, guidelines, and best practices documentation for digitization and for the operation of the digitization lab.
  • Provides operational oversight and coordination of digitization projects. This includes management of work queues, monitoring workflow efficiency, coordination of the work of students and staff, equipment troubleshooting, metadata creation, and communication with project managers and stakeholders.
  • This position works closely with curators, conservators, IT staff, librarians, repository managers, and other stakeholders to evaluate and complete digitization projects.
  • Maintains expertise with emerging trends and best practices in library and cultural heritage digitization, digital collections, preservation, reformatting and library technology.
  • Serves as a consultant on project teams and grants in matters relating to digitization.

30% Project Management

  • Working with appropriate stakeholders, planning digital projects and workflows. This will include but is not limited to: evaluating the feasibility of completing projects in-house versus outsourcing; developing time estimates and cost projections; coordinating with vendors; and determining staffing needs.
  • Project coordination will also require issuing status reports, maintaining documentation, and tracking project progress.

5% Other duties

  • Participation in committees, task forces, and special projects related to digital projects and digitization services from within the Libraries or from across campus as appropriate.

Position Requirements

  • This position is considered hybrid, a combination of remote and on-site work as deemed by supervisor.

Required Qualifications

  1. Bachelor’s degree PLUS three (3) years of library or related experience such as archives, museum, or photography studio OR high school diploma and five (5) years of experience coordinating one or more major library or related administrative services or programs.
  2. Demonstrated knowledge of library digitization workflows and standards, particularly best practices for digitization such as the Federal Agencies Digital Guidelines Initiative (FADGI).

Preferred Qualifications

  1. Three or more years of digitization experience in a production environment in a library, archives, museum, or photography studio.
  2. Strong interpersonal skills, with the ability to communicate clearly and effectively, both orally and in writing.
  3. Demonstrated ability to work independently and collaboratively, with the ability to manage multiple projects at once.
  4. Supervisory experience, including professional staff and students.
  5. Knowledge of still image capture workflows in a cultural heritage environment, including working with RAW image formats, QA/QC processes, and Optical Character Recognition (OCR) workflows.
  6. Knowledge of relevant metadata standards (e.g., EAD, MARC, MODS, PREMIS).
  7. Experience using and supporting (calibration and maintenance) multiple types of digital imaging equipment such as single capture camera systems, book cradles, copy stands, flatbed scanners, planetary scanners, sheet-fed scanners, DSLR cameras, and medium-format cameras. KU uses DT Versa, Phase One, Epson, Bookeye, and Canon capture devices.
  8. Experience with imaging software applications, such as Capture One Culture Heritage; Scan Tailor; Adobe Photoshop, Lightroom, Bridge, and Acrobat; as well as MS Office programs.
  9. Ability to color calibrate monitors; experience using objective and subjective quality control assessments and performing color correction and image manipulation using standard digital imaging software.
  10. Experience handling archives, special collections, and institutional records, such as bound volumes, photographs and transparencies, manuscripts, and oversize items.
  11. Mac and PC experience.
